This is located on the ETIS II contract at NASA’s Goddard Space Flight Center, Greenbelt Maryland.

FUNCTION OF POSITION

Under general supervision, provides an efficient and professional high-level administrative support to various functional areas to facilitate the efficient operation for the ETIS II Contract. May also perform other duties associated within area of assignment as directed by lead personnel or management.

DUTIES AND RESPONSIBILITIES

  • Requires strong verbal and written communication skills. Self-initiator, with problem solving ability and work with competing priorities and demands.

  • Must be organized and task oriented, able to work in a fast- paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.

  • Ensure office procedures and systems operate efficiently.

  • Ability to draft and write detailed notes, and prepare reports or presentations, in a clear and concise manner.

  • Detail oriented with the ability to convey information orally and in writing in a clear and concise manner

  • Proficiency in Microsoft Office software: Word, Excel, Power Point, Outlook

  • Ability to multi-task and prioritize effectively, flexibly, and responsively with the ability to work with diverse work styles.

SPECIFIC DUTIES

  • Setup / maintain confidential files

  • Monitor/order office supplies

  • Coordinate conference calling and meetings

  • Create documents

  • Scan / copy documents

  • Open / Sort Mail

  • Data entry support (i.e., entering training records)

  • Demonstrate assertiveness (i.e., prioritized workload)

  • Proofreads and edits materials to ensure high quality communications

  • Answer telephone and transmit telephone messages.

  • Make travel arrangements including; making hotel accommodations, transportation bookings and submitting travel vouchers and reports

  • Maintain business calendar updating, schedule meetings and appointments.

  • Coordinate conference calling and meetings.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Must have a minimum of ten (10) years administrative support experience with some of these experience working for a federal contractor. Education or years’ experience commensurate with skill level required for complexity as determined by management. Associate Degree Preferred

  • Must have expert knowledge of Microsoft Word, Excel, PowerPoint and Outlook

  • Ability to follow verbal and written instructions from Leads, engineering or management.

  • Must be self-motivated and a “Team Player” with good interpersonal and communication skills.

  • Ability to use own judgment and decisions to allow continuity of work flow.

PHYSICAL REQUIREMENTS

The Administrative Assistant will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Administrative Assistant will also have to do some lifting of supplies and materials from time to time.

CRITICALITY OF ATTENDANCE

Regular daily attendance and reporting on time is required to maintain shift effectiveness. Work is typically scheduled during day shift on weekdays. Work on holidays and weekends (scheduled and unscheduled), and shift work may be required. May be required to have the ability to be contacted outside of regular work hours.
